Administrative assistant

Context & Job description

You will join the Business Development Office (BDO) and the Collaborating Research Groups (CRGs) Liaison Office with the following tasks and two separate roles

Within the CRG Liaison Office (50%):

  • Process and follow-up purchase orders
  • Follow-up budgets
  • Process and follow-up various administrative requests (site entrance requests, etc.)
  • Provide administrative support to CRG users
  • Prepare reporting and statistics
  • Organise events
  • Organise professional trips

Within the Business Development Office (50%):

  • Support the sales cycle for commercial clients (beam time access, instrumentation sales and technology licences): liaise with and support clients, prepare and process quotations, invoices, etc.
  • Provide administrative support to outreach and marketing activities

Expected profile

  • Bachelor or equivalent diploma (worth at least 180 ECTS) in Business and Administration or an equivalent secretarial/assistant diploma (NVQ level 4, BAC +3 or equivalent higher education diploma)
  • 2 to 5 years of professional experience
  • Excellent level of written and spoken English
  • Sound computer skills (word processing, spreadsheets and slide presentations, web page creation and updating).
  • Ability to learn and master new computing tools that are ESRF specific
  • Well organised, capable of working both independently and as part of a team
  • Will to take responsibility for activities and to develop new skills
  • Good communication skills enabling you to work in a multi-cultural environment.

Working conditions

Temporary contract. Part time job (90%).

The monthly salary may be complemented by additional allowances upon eligibility (expatriation allowance, etc.).
