Administrative assistant

Context & Job description

At the ESRF, several beamlines (experimental stations to investigate samples with the X-Rays produced by the ESRF accelerator)  are operated by Collaborating Research Groups (CRGs). Each CRG maintains a research programme independent of the ESRF, and most serve specific national communities. As CRGs do not necessarily have in-depth knowledge of ESRF structures, and vice versa, a CRG Liaison Office acts, within the Experiments Division, as a central contact between the beamlines and the ESRF.

Within the CRG Liaison Office, you will work as an Administrative Assistant. Your role will be to support the operation of the CRG beamlines at ESRF to assure that they can successfully carry out their experiments with synchrotron radiation. You will also help with every-day administrative requests that appear.

To support the CRG staff, beamlines and instruments, your key missions will be to:

  • Provide administrative assistance to the CRGs with respect to both user and experiment administration (user entrance formalities, scheduling of experiments…)
  • Provide administrative assistance to the CRGs with respect to purchases and budget. Ensure proper follow-up
  • Provide general secretarial assistance to CRGs
  • Organize workshops and contribute to their follow-up (agenda, report, preparation of documentation, logistics, minutes…)
  • Provide assistance in the preparation of CRG contributions to ESRF documents (contributions to the Director General report, Council papers…) and be involved in the regular review of the CRG web pages (intranet/internet).
  • Apply and continually improve procedures to facilitate effective, efficient and professional office management.
  • Participate in the digitalization and modernization of administrative procedures, mainly in the field of finances (book keeping) and CRG staff administration

Expected profile

  • Secondary education (BTS, HNC, Bachelor, or equivalent diploma worth at least 120 ECTS)
  • 2 years’ experience as an assistant, preferably in an international environment
  • Excellent organizational skills and autonomy
  • Fluent in English and French, both spoken and written
  • Ability to take notes during technical and / or scientific meetings
  • Excellent communication skills and experience working in a multi-cultural, preferably scientific, environment
  • A good knowledge of the standard Office Software packages
  • Readiness and creativity to contribute to the modernization and improvement of office procedures

Working conditions

Permanent contract.

The salary will be calculated on the basis of relevant qualifications and professional experience.
