Administrative Assistant in the Communication Group

Context & Job description

The Communication Group is seeking for a an Administrative Assistant in the context of replacement, to assist the Head of Communications with all the administrative tasks related to the activity of the Communication Group.

In particular, the main tasks required for this replacement will include:

  • The management of the administrative aspects of the activity of the communication Group, including the follow-up of the budget, purchase requests, payments orders, relation with suppliers, mailing and shipments of material and documentation to external entities, management of database…;
  • Support to the Head of Communication for the organisation of the press visits, video and photos shootings;
  • Support for the production of the FLASH (the internal newsletter), including the the coordination with the contributors and the coordination with the graphist trainee;
  • If possible, but these tasks can be reviewed: 
    • support to the Head of Communications for the organisation of high-level visits and events in coordination with the event coordinator;
    • photographic coverage of events and activities of the ESRF and management of the photo database

Expected profile

  • Secondary education diploma (BTS, HNC, Bachelor, or equivalent diploma worth at least 120 ECTS)
  • Minimum 5 years of professional experience
  • Solid secretarial experience, preferably in an international environment
  • Good skills in English language, and a good knowledge of French
  • Proficiency with administrative computing tools and office software but also with design software

Working conditions

Time-limited contract of 4 months, potentially renewable.

Full-time or part-time job.

The salary will be calculated on the basis of relevant qualifications and professional experience.
