Administrative assistant for NEXTSTEP PhD programme

Context & Job description

You will join the Experiments Division Group Assistants team to participate in the MSCA PhD training programme “NEXTSTEP”. Working with the project team, your main missions will be the following:

  • Administrative coordination: Manage documentation, compliance and communication between the project stakeholders.
  • Event organisation: Support planning of training sessions, workshops and meetings for the PhD programme.
  • Application and selection support: Assist with recruitment processes with support to the Human Resources team.
  • Student support: Provide administrative assistance for student progress tracking, reviews and career planning.
  • Monitoring and reporting: Maintain progress records, compile reports and support programme quality assurance efforts.
  • Supporting administrative tasks linked with "NEXTSTEP" programme.

Expected profile

  • Educational Background: A higher education degree in Business Administration or an equivalent qualification (e.g., BSc, Licence, HND, HNC, BTS, DUT, Bachelor, Meister, Vordiplom, Perito, Laurea Triennale, Diplomatura, Ingenieria Técnica, or similar).
  • Experience: Ideally, at least 4 years of experience in a commercially oriented or administrative role. However, motivated beginners are also encouraged to apply.
  • Language Skills: Excellent written and spoken English is essential, along with at least an intermediate level of French.
  • Interpersonal Skills: Strong ability to work effectively in a multicultural environment.
  • Technical Skills: Proficiency in Microsoft Office and general computer literacy.
  • Personal Attributes: Highly organized, capable of working both independently and as part of a team, with a proactive approach and a strong sense of responsibility.

Working conditions

The salary will be calculated on the basis of relevant qualifications and professional experience.
