Personal Assistant to the Director of Administration

Context & Job description

The European Synchrotron Radiation Facility (ESRF) is looking for a Personal Assistant to the Director of Administration to provide high-level administrative and organizational support.

Under the direct supervision of the Director of Administration, you will be responsible for a range of administrative and organizational tasks in both English and French, including:

  • Assisting in the preparation of documents and meetings.
  • Managing the Director’s calendar and emails.
  • Preparing and following up on documents submitted to the Management Board.
  • Providing logistical and administrative support for Administrative and Finance Committee (AFC) meetings (held twice a year), in coordination with the Finance Service assistant.
  • Supporting and liaising with the Heads of Service/Group within the Administration Division.
  • Organizing negotiation meetings with ESRF unions, taking minutes, and managing related documentation.
  • Publishing relevant staff information on the intranet.

Expected profile

Education:

  • Secondary education diploma (BTS, HND, Bachelor, or equivalent diploma worth at least 120 ECTS).

Experience:

  • At least 5 years of professional experience, including exposure to HR-related matters.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to quickly adapt to and learn new administrative technologies.

Key Competencies:

  • Strong organizational skills and ability to manage priorities.
  • Flexibility, adaptability, and discretion in handling confidential matters.
  • Ability to work both autonomously and collaboratively at all levels.
  • Excellent communication skills and diplomacy.

Languages:

  • Fluency in English and French (written and spoken) is essential.

Working conditions

The salary will be calculated on the basis of relevant qualifications and professional experience.
