Administrative Assistant within the Safety Group

Context & Job description

The ESRF is looking for a proactive and well-organised Administrative Assistant to join its Safety Group. Working in a dynamic and multidisciplinary environment, you will support the day-to-day operations of the service by managing key administrative and coordination tasks.

Your main responsibilities will include:

  • Editing and proofreading safety-related documents
  • Organising safety training courses, meetings and internal events
  • Managing access badge requests and maintaining the SALTO database
  • Supporting budget tracking and reporting
  • Keeping the Safety Group’s internal web pages and document management system (Alfresco Share) up to date
  • Participating in inventories (chemicals, gas cylinders, etc.)
  • Helping coordinate experiment proposal submissions (twice a year)
  • Assisting the Radiation Protection Unit with scheduled verifications (after appropriate training)
  • Working in close collaboration with the other Safety Group assistant and providing backup during absences

Expected profile

Education:

  • Secondary education diploma (BTS, HNC, Bachelor’s degree, or equivalent worth at least 120 ECTS)

Technical Skills:

  • Proficient in Microsoft Office tools (Word, Excel, PowerPoint)
  • Demonstrated ability to quickly learn and adapt to new digital tools
  • Excellent command of French (written and spoken) and good working knowledge of English

Non-Technical Skills:

  • Minimum 3 years’ experience as an assistant, ideally in an international environment
  • Strong organisational and analytical skills, with high attention to detail
  • Ability to manage multiple priorities effectively
  • Initiative, autonomy, responsiveness, energy, and discretion
  • Strong interpersonal skills and proven ability to work well in a team
  • Proactive approach to problem-solving and openness to change

Working conditions

Permanent contract.

The salary will be calculated on the basis of relevant qualifications and professional experience.
