Administrative Assistant within the Payroll & Time Management Unit

Context & Job description

The Payroll & Time Management Unit (5 team members) handles payroll, time tracking, and administrative processes related to staff attendance and compensation. As part of a major project to upgrade our Absence & Time Management (ATM) software, we are seeking an Administrative Assistant to support the team during this busy period.

Main responsibilities:

  • Assist with administrative tasks related to payroll
  • Monitor sick leave and manage related documentation (daily allowances, social security, provident schemes)
  • Respond to internal email enquiries
  • Provide general administrative support to the team

Expected profile

Qualifications & technical skills

  • Bachelor’s degree (or equivalent 120 ECTS) in Business Administration, HR, or a related field
  • At least 5 years of experience in administrative roles
  • Proficient in Microsoft Office tools (Word, Excel, etc.)
  • Fluent in English (working language at the ESRF)

Personal qualities

  • Proactive, organised, and able to work independently
  • Strong attention to detail and time management
  • Comfortable with multitasking and changing priorities
  • Team-oriented with good communication skills

Working conditions

Temporary contract of 6 months.

The salary will be calculated on the basis of relevant qualifications and professional experience.
