Administrative Assistant (F/M)

Context & Job description

The Buildings & Infrastructure Group within the Technical and Infrastructure Division is responsible for the operation and maintenance of the ESRF technical infrastructures, the development of technical strategies for buildings and facilities, and provides expert analysis and diagnostics to support the implementation of optimum solutions.

As part of the Buildings and Infrastructure Group (BIG), you will play a key role in supporting both day-to-day operations and long-term projects by carrying out a variety of administrative and coordination tasks.  Your responsibilities will include:

  • Coordinating contractors’ interventions, including ensuring safety training completion; site access registration and work permit management.
  • Preparing reports and meeting minutes.
  • Writing, proofreading, and distributing communications such as mailings, memos and reports, organising and scheduling meetings.
  • Supporting project follow-up and regular activities such as processing purchase orders, documenting expenses and budget follow-up.
  • Welcoming visitors and answering phone calls.

 

Expected profile

  •      A Bachelor degree or equivalent qualification worth at least 120 ECTS, ideally in an administrative or a related field.
  •      At least five years of relevant professional experience in a comparable administrative or coordination role.
  •      Proficient in using computing tools and standard office software.
  •      Proficiency in both French and English (working language at the ESRF).
  •      Strong interpersonal and  communication skills, ability to work in diverse, multi-disciplinary teams.
  •      Demonstrates flexibility, reliability, attention to detail, and a strong service-oriented mindset.

Working conditions

The salary will be calculated on the basis of relevant qualifications and professional experience.
