As part of a team of 10, you will provide essential administrative and secretarial support to the buyers and to the Head of the Procurement and Contracts Service, with a particular focus on procurement procedures related to calls for tender.
You will be responsible for the following activities:
- Providing administrative support to buyers throughout the entire procurement process
- Serving as a liaison between internal users and other members of the Procurement and Contracts Service
- Assisting in the organisation of calls for tender, including the preparation and follow-up of Tender Board and Tender Commission meetings
- Supporting the transmission of call for tender (CFT) documents to Industrial Liaison Officers (ILOs) and ensuring appropriate follow-up until the contractual agreement is concluded
- Coordinating with the designated buyer to track the progress of draft contract documents, including internal validation steps, until final signature by all parties
- Managing the administrative follow-up of subcontractors
Qualifications and Education
- Technical degree (Licence, BTS, DUT, Bachelor, HND, HNC, Meister, Vordiplom, Perito, Laurea Triennale, Diplomatura, Ingenieria Técnica or equivalent) in purchasing, international business, or business administration.
Technical Skills and Experience
- Minimum of 2 years of professional experience in a similar position.
- Proficiency in English (the working language at the ESRF).

- Strong organisational skills, flexibility, adaptability, and attention to detail.
- Excellent communication skills.
- Ability to work effectively as part of a team in an international and multicultural environment.
Temporary contract of 18 months.
The salary will be calculated on the basis of relevant qualifications and professional experience.
