Administrative Assistant in the Business Development Office

Context & Job description

Within the Business Development Office (BDO) of the ESRF, you will contribute to our dynamic commercial programme. Working in close collaboration with a fellow administrative assistant, you will support the team in a variety of tasks.

Your main responsibilities will include:

  • Handling the full administrative workflow for commercial beam time, services, and equipment sales – from initial client contact and quotation to invoicing.
  • Serving as the primary administrative contact for commercial clients, responding to queries and ensuring smooth interactions and access to ESRF facilities.
  • Monitoring and maintaining client legal documentation and commercial licence agreements.
  • Acting as the BDO’s main point of contact and lead administrator for the customer relationship management (CRM) system.
  • Updating and maintaining documentation related to commercial processes.
  • Compiling and preparing industrial statistics and reports as required.
  • Supporting marketing activities, including the organisation of client visits, workshops, and events at the ESRF site.

Expected profile

Professional Experience

  • A diploma corresponding to EQF Level 5, such as a BTS, DUT, or other relevant BAC+2 qualification in Business and Administration or a related field.

Professional Experience

  • A minimum of 2 years of professional experience in a commercially oriented or equivalent administrative role. However, applications from recent graduates with relevant qualifications and skills are also welcome.

Technical Skills

  • Excellent command of written and spoken English.
  • Proficiency in Microsoft Office tools (Word, Excel, PowerPoint) and familiarity with web page creation and updates.
  • Ability to learn and master specific digital tools and platforms.

Personal & Interpersonal Skills

  • Strong organisational abilities and attention to detail.
  • Ability to work both independently and as part of a team.
  • Proactivity and sense of responsibility, with a strong sense of initiative.
  • Excellent interpersonal skills, with the ability to communicate effectively in a multicultural environment.

Working conditions

Part time (80%) permanent contract.

The salary will be calculated on the basis of relevant qualifications and professional experience.
